Indiana Document Authentication

Indiana Apostille Services

Indiana documents intended for use abroad may require state authentication before they can be accepted by a foreign authority.

Indiana Authentication System

Indiana Uses a Single Certificate Format

Indiana follows a single-certificate model for state authentication requests, which differs from states that issue visibly separate apostille and authentication certificates.

Since July 2022 One Standard Authentication Certificate

The Indiana Secretary of State uses the Hague Model Apostille Single Certificate format for authentication requests.

The certificate is trilingual, uniquely numbered, and verifies the signature, official capacity, and seal or stamp appearing on the underlying document.

The destination country still matters, and additional foreign legalization requirements may apply depending on where the document will be used.

Public Records

Vital & Court Documents

Indiana birth, death, marriage, divorce, adoption, and other official records should be submitted as eligible certified records from the appropriate issuing authority.

Private Documents

Indiana-Notarized Records

Affidavits, powers of attorney, translations, statements, and similar private documents generally require a properly completed Indiana notarization before authentication.

Business Records

Indiana Corporate Documents

Certified Indiana business records such as Articles of Incorporation, merger documents, assumed-name filings, and Certificates of Existence or Fact may also qualify.

Indiana Apostille Requirements

Preparing an Indiana Document for Authentication

The Indiana Secretary of State verifies the signature, capacity, and seal or stamp appearing on an eligible document. Proper document preparation is therefore essential before submission.

01

Use an Original or Certified Copy

Indiana requires the original document or an eligible certified copy of the record being submitted for authentication.

02

Use an Indiana Official or Notary

The qualifying signature must be one that the Indiana Secretary of State can authenticate, such as an Indiana public official or commissioned Indiana notary.

03

Complete the Notarial Certificate

Notarized documents must include a properly completed notarial certificate stating the relevant facts of the notarial act and bearing the notary’s signature and seal.

04

Identify the Destination Country

Indiana requires the country where the document will be sent so the state can prepare the appropriate authentication certificate.

A notary stamp alone does not complete the notarization.

Indiana specifically requires a proper notarial certificate containing the jurisdiction, date, signer information, and other details of the notarial act together with the notary’s signature and seal.

Frequently Asked Questions

Indiana Apostille FAQs

Who issues apostilles in Indiana? +
Eligible Indiana documents are authenticated through the Indiana Secretary of State’s Business Services Division.
Does Indiana use separate apostille and authentication certificates? +
Indiana adopted a single-certificate format in 2022 and no longer differentiates between apostille and authentication requests at the certificate-format level. The destination country still determines what additional recognition or legalization may be needed.
Does every Indiana document need to be notarized? +
No. Indiana states that certain public records, including qualifying marriage, divorce, birth, and death certificates, do not require additional notarization. Many private documents do.
How is an Indiana marriage license prepared? +
An Indiana marriage license must first be certified by the current Circuit Court Clerk of the county where the marriage occurred before it is submitted for state authentication.
How are Indiana diplomas and transcripts prepared? +
A registrar, principal, or other authorized school official typically certifies the record and signs the statement in the presence of a notary public. The notary then completes the notarization before authentication.
Does an Indiana translation need to be notarized? +
Yes. Indiana requires a translation submitted for state authentication to be properly notarized before the Secretary of State can process it.
Can Indiana authenticate an FBI background check? +
No. FBI background checks are federal documents and follow the federal authentication process rather than the Indiana Secretary of State process.
